Getting started

Clokk is rostering for small businesses — set it up in an afternoon, run it in minutes a week. There's nothing to install: it works in any browser and can be added to your phone's home screen.

How do I create a workspace?

From the homepage, choose a plan and follow the sign-up. You'll name your business, pick your industry and state, add your departments and roles, and you're in. The first time you open Settings, a guided walkthrough talks you through each section — fill it in as you go.

Do staff need to download an app?

No. Staff sign in with just their email — no passwords, no app store. They can add Clokk to their home screen for one-tap access.

Inviting & managing staff

How do I invite my team?

Share your workspace link (copy it from the admin dashboard — text it, paste it in your group chat, or stick a QR code on the staff-room wall). Staff sign in with their email and pick their role. To add a whole team at once, use Settings → Admin tools → Bulk import and upload a CSV.

How do I set someone as a supervisor or admin?

Tap any person on the Team page and choose their role. Supervisors manage rosters and approvals (you decide exactly what they can do under Settings → Supervisor permissions). Pay rates and role changes always stay admin-only.

How do I remove someone from the workspace?

Tap the person on the Team page and choose Remove from workspace. Their upcoming shifts are released back to the open board so they can be re-filled, and they immediately lose access. Their past shifts stay on record so your pay history isn't affected.

How do I leave a workspace?

Open Me (your profile) and choose Leave workspace. You'll be removed and your upcoming shifts released. If you're the only admin, promote someone else first — every workspace needs at least one admin.

Building rosters

What's the difference between "Roster" and "Build roster"?

Roster is the finalised, read-only week — who's on, at a glance, ready to screenshot for the group chat. Build roster is where you actually create it.

How does Auto-Draft work?

In the roster builder, tap Auto-Draft and Clokk fills every open slot fairly — skipping anyone who's marked unavailable or on leave. Tweak whatever you like, then bulk-post the lot. A week's roster in under a minute.

Can I set my own shift times and days?

Yes. In Settings → Shift structure you decide how many shifts run each day, the hours of each, and which days it runs — e.g. a late-night block on Thursdays only. Pick start and end times from the dropdowns; overnight shifts are handled automatically.

Shifts, swaps & leave

How do staff pick up shifts?

Open shifts appear on the Available board — first in, first served. Staff claim them from their phone.

How do swaps work?

A staff member requests a swap, a teammate accepts it, and a manager approves — then the shift changes hands automatically. Everyone's kept in the loop.

How is leave requested?

Staff request annual, personal or unpaid leave in-app. A manager approves, the balance updates, and those dates clear out of the roster so Auto-Draft won't roster over them.

How do staff clock in?

When a shift starts, a Clock In button appears on the staff dashboard. Clocked hours flow straight into pay.

Pay & payroll

Where do I see what I owe?

The Payroll page totals each pay period from real shifts — rostered and clocked hours side by side. Set each person's hourly rate by tapping them on the Team page (admins only).

Does Clokk handle weekend & public-holiday penalty rates?

Clokk shows an award-standard estimate that applies weekend and public-holiday loadings on top of the ordinary rate, alongside the base (ordinary) pay. Set your state and Modern Award under Settings → Compliance so the right public holidays and flags apply. The estimate is a guide — your payroll system remains the source of truth.

Can I export to payroll?

Yes — export a CSV from the Payroll page that drops into Xero, MYOB or KeyPay. On the Business plan you can connect Xero to push approved hours as draft timesheets directly.

Billing & plans

How do I change plan or update my card?

Go to Settings → Billing → Manage billing. That opens our secure payment provider (Stripe) where you can change plan, update your card, or cancel — all self-serve.

What happens if a payment fails?

Your workspace switches to read-only — you can still view everything, but can't make changes until billing is back on track. Your data is never deleted.

Can I try Clokk first?

Yes — the live demo needs no sign-up. The current plans and prices are on our pricing page.

Account & data

How do I make Clokk look like my business?

On the Growth plan and above, add your logo and brand colour under Settings → Branding so the staff portal feels like yours, not ours.

Is my data secure?

Your data is stored securely and only your workspace can see it. See our Privacy Policy for the full detail on how it's handled.

Where can I replay the setup tour?

Any time, from Settings → Admin tools — "Show me around" for the product tour, or "Set up walkthrough" for the section-by-section settings guide.
